Cancellation & Rescheduling Policy
HiFive Seated Massage provides scheduled on-site seated massage services for workplaces, corporate events, wellness programs, conferences, and private events. Because each booking requires therapist scheduling, reserved event time, travel planning, and event preparation, cancellations and rescheduling requests must be handled in a timely manner.
This policy explains how cancellations, rescheduling requests, no-shows, access issues, and event-day disruptions are handled.

Cancellation Notice
Clients may cancel a scheduled event by contacting HiFive Seated Massage as soon as possible.
Cancellations made at least 48 hours before the scheduled event start time may be canceled without a late cancellation fee, unless otherwise stated in a written agreement, proposal, invoice, or booking confirmation.
Cancellations made less than 48 hours before the scheduled event start time may be charged 50% of the scheduled event total.
Cancellations made less than 24 hours before the scheduled event start time may be charged 100% of the scheduled event total.
Rescheduling Requests
Rescheduling requests made at least 48 hours before the scheduled event start time may be moved to a new date and time, subject to therapist availability, service area availability, and HiFive's scheduling capacity.
Rescheduling requests made less than 48 hours before the scheduled event start time may be treated as a late cancellation and may be subject to the applicable cancellation fee.
A requested reschedule is not confirmed until HiFive Seated Massage has approved the new date, time, location, and service details in writing.
No-Shows and Client-Side Event Issues
If HiFive Seated Massage staff arrive for a scheduled event and the event cannot proceed due to client-side issues, the event may be treated as a no-show.
No-shows and client-side event issues may be charged 100% of the scheduled event total.
This may include, but is not limited to:
- the client, event host, or required on-site contact is unavailable;
- the event location is inaccessible;
- building access, parking access, loading access, or check-in access has not been arranged;
- the event room or service area is unavailable or unsuitable;
- the event has been canceled, moved, or materially changed without prior written notice to HiFive;
- attendees are unavailable or the event schedule prevents services from being provided;
- required approvals, permissions, or site access instructions were not provided;
- unsafe, inappropriate, or disruptive conditions prevent services from being performed.
Site Access and Event Readiness
Clients are responsible for ensuring that the event location is ready and accessible at the scheduled time. This includes arranging any required parking, building access, security check-in, elevator access, room access, and on-site contact availability.
Clients should also ensure that there is a suitable area for seated massage services, including adequate space, reasonable lighting, a safe working environment, and any event-specific setup requirements communicated before the event.
Delays caused by access issues, room unavailability, event disorganization, or other client-side conditions may reduce the available service time. HiFive Seated Massage is not required to extend the event time or provide additional service time due to client-side delays.
Unsafe or Unsuitable Conditions
HiFive Seated Massage reserves the right to refuse, pause, or end services if the environment is unsafe, inappropriate, unsanitary, disruptive, or unsuitable for seated massage services.
This may include, but is not limited to, unsafe physical conditions, aggressive or inappropriate behavior, harassment, intoxication, lack of adequate space, or conditions that create a risk to staff, attendees, or equipment.
If services cannot be provided or completed due to unsafe or unsuitable conditions outside HiFive's control, the client may remain responsible for the scheduled event amount.
Weather, Emergencies, and Events Outside Either Party's Control
HiFive Seated Massage understands that severe weather, emergencies, building closures, public safety concerns, illness, accidents, or other unexpected circumstances may affect an event.
When possible, HiFive will work with the client in good faith to reschedule affected services. However, rescheduling is subject to availability and is not guaranteed.
If HiFive Seated Massage must cancel or reschedule due to circumstances outside its control, HiFive will contact the client as soon as reasonably possible to discuss available options.
Deposits, Payments, and Refunds
Any deposit, prepayment, cancellation fee, or refund will be handled according to the terms provided in the applicable proposal, invoice, booking confirmation, or written agreement.
If a client has prepaid for an event and a cancellation fee applies, the applicable cancellation amount may be retained from the prepaid amount. Any approved refund balance, if applicable, will generally be returned to the original payment method.
If payment has not yet been collected and a cancellation fee applies, HiFive Seated Massage may issue an invoice for the applicable cancellation amount.
Approved refunds, if any, may take several business days to process depending on the payment provider or financial institution.
Fees charged for late cancellations, no-shows, client-side access issues, unsafe conditions, or other event-day issues are intended to cover reserved event time, therapist scheduling commitments, travel planning, administrative work, and costs already incurred.

A cancellation or rescheduling request is not considered confirmed until HiFive Seated Massage acknowledges it in writing.
Relationship to Other Written Agreements
If a signed agreement, written proposal, invoice, or booking confirmation includes cancellation or rescheduling terms that differ from this policy, the terms in that written document will control for that booking.
Policy Updates
HiFive Seated Massage may update this Cancellation & Rescheduling Policy from time to time. The version posted on the website at the time of booking, together with any applicable written proposal, invoice, booking confirmation, or signed agreement, will apply to the scheduled event.
