Questions HR Teams Should Ask an On-Site Massage Provider

Bringing an outside provider into your building means signing off on licensing, insurance, privacy, and safety on behalf of your employees. The questions below are the ones worth asking before a contract, in roughly the order they matter.
A capable provider will answer all of these quickly and in writing. Hesitation on licensing, insurance, or cancellation terms is the most useful signal you will get.
Licensing and credentials
- Are all therapists licensed in Michigan, and can you see license numbers?
- How are licenses verified and how often are they re-checked?
- Who is on site if a lead therapist cancels?
Insurance
- Does the provider carry professional liability insurance?
- Can they issue a certificate of insurance naming your organization if your building requires one?
- Are individual contractors covered, or only the company?
Screening and conduct
- How are therapists screened and onboarded?
- Is there a written professional conduct policy?
- How is a complaint handled, and who does an employee tell?
Privacy and health information
- How is intake handled so health questions are not asked in front of coworkers?
- What is retained after the event, and for how long?
- Is anything shared back to the employer? The answer should be no beyond aggregate counts.
Accessibility and inclusion
- Can sessions be adapted for employees with mobility needs or who prefer no touch on certain areas?
- Is the setup reachable without stairs?
- Can an employee decline or stop a session at any point without explanation?
Equipment, setup, and space
- What does the provider bring, and what do you need to supply?
- How much space and setup time is required?
- How is equipment sanitized between sessions?
Scheduling and terms
- Minimum booking, arrival window, and overtime handling
- Written cancellation and rescheduling policy
- Written pricing with everything included — travel, setup, equipment, and any gratuity handling
